Disclosure Responsibilities

  • Who Needs to Submit a Disclosure?

    Any individual responsible for the design, conduct, or reporting of an externally funded research project must submit an FCOI disclosure through Axiom Mentor. Individuals required to submit FCOI disclosures are known as “Covered Individuals.” This includes Principal Investigators (PIs), Co-Investigators, senior/key personnel, and any other individual (e.g. postdocs) responsible for the design, conduct, or reporting of the project, regardless of title or position. This requirement applies regardless of whether the individual receives salary or any other form of compensation from the research project.

    A disclosure is required per project and must be submitted even if the individual has no financial interests to report.

  • When to Disclose?

    Disclosure timing requirements are as follows:

    • At Proposal: An initial FCOI disclosure must be submitted for each externally funded proposal prior to proposal submission.
    • Annually: FCOI disclosures for all ongoing externally funded projects must be renewed each calendar year by February 15.
    • Within 30 Days:
      • Of joining an existing externally funded project (initial FCOI disclosure required)
      • Of acquiring or discovering a new SFI (update to existing FCOI disclosure required)
